Complete New Scholar Orientation on Homebase:
J-1 Scholars and International Trainees must complete the Office of International Students and Scholars (OISS) New Scholar Orientation and complete the New Scholar Check-In before submitting the I-9 form. As part of the check-in process, scholars must report their U.S. address and upload their I-94. Address reporting and updates are completed online through the OISS Connect platform.
- This is an online check-in, not in person, and is for J-1 scholars only. F-1 OPT scholars do not need to complete this check-in.
- Complete the New Scholar Check-in within 72 hours of arriving in the U.S. and at least approximately four days before your I-9 appointment so all systems are up to date. After your New Scholar Check-in is submitted and processed, a validated DS-2019 will be uploaded to your OISS Connect profile.
Apply for a U.S. Social Security Number:

International postdocs must apply for a U.S. Social Security Number (SSN) if they will be employed and do not already have one.
- J-1 Scholars: OISS recommends waiting at least two weeks after receiving your validated DS-2019 before applying for an SSN. This waiting period allows time for your immigration records to be updated in the Social Security Administration (SSA) system.
- F-1 Postdocs on OPT or STEM OPT: You may apply for an SSN up to 30 days before your appointment start date.
Once you receive your SSN, you must update your records through the Employee Service Center.

Register with Yale’s International Tax Office:
Non-U.S. students and scholars receiving payments from the University (e.g., compensation, stipend, fellowship, etc.) are required to complete Sprintax Calculus with the International Tax Department.
Once Sprintax Calculus is completed and submitted to the International Tax Department, you will receive notification regarding U.S. tax residency, treaty eligibility, and instructions for completing Form W-4 and CT-W4. If you have not received the Sprintax Calculus link, please send an email to internationaltax@yale.edu.
Any postdoc scholar not sponsored by Yale University must complete their check-in process with their sponsoring institution. All postdocs are welcome to attend the OISS orientation to learn more about their services.
