Visa Process
The home department should contact the Office of International Students and Scholars(Link is external) 3–6 months before the appointee’s start date.

Required Documentation
Candidates are required to provide:
- Two letters of recommendation (postdocs only)
- CV (upload to STARS)
- Proof of doctoral degree in English (upload to STARS). If the diploma has not been conferred, a letter from the Registrar or Dean of the degree-granting institution, in English, must confirm that all degree requirements are met and provide the date of conferral.
- Proof of alternative health insurance, if not provided by Yale (upload to STARS)

Hiring Process
For postdoctoral and postgraduate appointments, the hiring process is similar, except that the postgraduate appointment is preceded by an application. Begin the process at least two months before the intended start date, as background checks can take 4 to 6 weeks. 1. Application Submission - Postgraduate appointments require an initial application, which must include the candidate’s CV. 2. Creating a Job Requisition in Workday - Follow the “Create Job Requisition: Postdocs (STARS)” guide to submit a requisition in Workday. Within 30 minutes, you will receive an email confirming the requisition (req) has been routed to STARS. 3. Finalizing the Job Requisition in STARS - Use the “Finalize STARS Job Posting: Other Academic (Postdoc)” guide to complete the requisition in STARS and save it. 4. The Office for Postdoctoral Affairs (OPDA) will review, approve, and open the requisition, and you will receive an email confirmation once it is opened. 5. Initial Candidate Communication - Send the initial communication to the candidate, directing them to apply. 6. Background Check Initiation - After the candidate applies, OPDA will initiate the background check, if required. For details, visit Background Checks | It’s Your Yale. 7. Before a hire can be processed in Workday, any existing Student Record or Sponsored Identity must be terminated or canceled. Please ensure this step is completed to avoid delays in the hiring process. 8. * Arrival Confirmation - Once the appointee has arrived in New Haven, confirm their arrival by forwarding the appointee’s arrival email, including the requisition number, and confirmation of the appointment dates to the appropriate administrator:
- For Postdoctoral Appointees (Yale School of Medicine): Abby Davi
- For Postgraduate Appointees (Yale School of Medicine): Daniela Velarde
- For FAS and all other Professional Schools: Alisa Paradise
* Per OPA policy, confirmation of arrival must clearly indicate that the individual is physically present in New Haven or elsewhere in Connecticut and is ready to begin work. This confirmation is typically provided by the candidate via email. Please note that simply stating a residential address, indicating residency in Connecticut, or mentioning future arrival plans does not meet the criteria for confirmation of arrival.
The appointment cannot be finalized until arrival confirmation has been received.

Process for Early Arrival Requests for Visa Holders
Units must submit the newly issued DS-2019 to the designated OPDA contact to request an earlier start date for any appointee on a visa. This ensures that OISS has reviewed and approved the early arrival request and that all necessary procedures have been properly followed.
